Guidelines for sharing PPTX files

Best practices and cautions when sharing Microsoft Powerpoint presentation files in an Adobe Connect room.

This document outlines best practices and troubleshooting tips for sharing Microsoft PowerPoint presentation files (.PPT and .PPTX) in Adobe Connect rooms. Follow these guidelines to ensure smooth and effective collaboration during meetings, webinars, and training sessions.

Share a presentation

Adobe Connect allows you to upload PPT or PPTX files directly into a Share pod in your room using either the application or your browser.

  1. Select the Pods menu, select Share, and then select New share pod.
  2. Select Document to open the file selection dialog.
  3. Select Browse my computer and choose the presentation on your computer.
  4. Select Open.
  5. To share the file in the Share pod, do either:
    • Select the PPTX file and then select Share to share the file in the Share pod. 
    • Drag and drop your PPT or PPTX file into the Share pod.

Handling upload issues

When you upload a PowerPoint file, Adobe Connect automatically scans it and alerts you to any compatibility concerns. Knowing these limitations helps you deliver smooth, consistent presentations for your audience.

Common issue types include:

  • Animation compatibility – Some PowerPoint animations aren’t supported in Adobe Connect.
  • Slide transitions – Certain transitions may not appear as expected.
  • Embedded media – Only specific video formats are supported.
  • Image formats – Ensure images are saved in supported file types for accurate rendering.

Unsupported animations

Animations on the first slide of a PowerPoint presentation may not display correctly during a session.

Cause

Adobe Connect requires user interaction to trigger animations on the first slide. The slide loads immediately in the Share pod, but animations won’t play until you manually advance the presentation.

Solution

  • Set the first animation on your opening slide to Start on Click.
  • This ensures the animation begins when you advance the presentation.

Always set animations on the first slide to Start on Click rather than playing it automatically.

Unsupported animations used

Cause

In Adobe Connect, certain animations, including some Microsoft PowerPoint effects, may not display or render correctly during presentations.

Unsupported Slide transitions

Cause

Adobe Connect does not support all transitions available in MS PowerPoint, resulting in unsupported transitions not being rendered.

  • Review your presentation to identify and replace any unsupported transitions.
  • Use only transitions that are confirmed to be supported by Adobe Connect.

Multiple MP4 videos detected

Cause

Adobe Connect currently does not support multiple MP4 files on a single slide. If more than one video is added, only one may play correctly, while the others might not display or function as expected.

Recommendation

Distribute multiple MP4 videos across separate slides to ensure proper playback. Including only one video per slide helps maintain compatibility and performance in Adobe Connect.


Unsupported image formats

Cause

Adobe Connect currently supports images in JPG and PNG formats within PPTX files. Images in other formats will be converted to JPG or PNG, which may lead to rendering issues.

  • Convert all images to JPG or PNG before inserting them into your PowerPoint presentation.
  • Use PNG format for images that require transparency or sharp edges, such as logos or icons.
  • Use JPG format for photographs or images with complex color gradients to reduce file size.
  • Review converted slides to ensure image quality and clarity are maintained.

Adobe Connect provides built-in reporting capabilities to help you systematically track and resolve presentation compatibility issues.

Steps to Access and Use the Compatibility Report

  • Upload your presentation to Adobe Connect.
  • Check for compatibility warnings that may appear after the upload.
  • Select Export Issues (CSV) to download a detailed report of any detected issues.
  • Save the CSV file for reference during troubleshooting or when making adjustments to your presentation.

The CSV file contains a list of issues detected during the PowerPoint import process. Here’s a breakdown of its structure:

  • Issue: The type of issue found (for example, Unsupported image formats, Unsupported animation used).
  • Description: A brief explanation of the issue and recommended action (for example, Removing GIF images from the presentation before uploading).
  • Slide Numbers: The specific slides affected by the issue (for example, "Slide 1, Slide 2, Slide 8").

Best Practices for PowerPoint Presentations

  • After uploading your presentation, review each slide to ensure that fonts, graphics, and animations are displayed correctly.
  • Open the sidebar by selecting the Show Sidebar icon. Then, select Outline to view your slide titles. You can select any slide title to quickly navigate to that slide.
  • Use the sidebar to access your PowerPoint notes or to search for specific words on a slide.
  • Display the Presentation Playbar to control the playback of animations, audio, and video.
  • If your slides don't convert as expected, select Stop Sharing and then reshare the presentation.
