Use Account Sharing Permissions to control how users in your organization share content and manage agreements on behalf of others.
This set of controls is only visible in the admin menu when Advanced Account Sharing is enabled.
Account Sharing Permissions allow administrators to:
- Control whether users can share with internal or external participants.
- Define what shared users can do—such as sending or modifying agreements.
- Limit shared access to only agreements sent from a group (excluding those sent to the group).
These settings apply to sharing initiated by users or administrators.
Unlike Agreement Sharing, which is always enabled and used to share individual agreements by email, Account Sharing controls user- and group-level access to shared content.
Configuration
Availability:
- Acrobat Standard and Acrobat Pro: Not Available
- Acrobat Sign Solutions: Supported; Available when Advanced Account Sharing is enabled
- Acrobat Sign for Government: Supported; Available when Advanced Account Sharing is enabled
Configuration scope:
Administrators can configure Account Sharing Permissions at the account and group level.
The settings are applied through each user’s primary group.
Access this feature by navigating the administrator's configuration menu to Security Settings > Account Sharing Permissions
Sharing permissions
Control who users can share with
Admins can allow or restrict sharing with:
- Internal users or groups – Members of the same Acrobat Sign account.
- External users – Anyone outside the account, including people with the same domain who are not part of the organization.
These options are independent and can be enabled or disabled separately.
Define what shared users can do (internal only)
When internal sharing is enabled, admins can enable the options for shared users to:
- Send agreements – Create and send new agreements on behalf of the owner.
- Modify existing agreements – Edit agreements already in progress as if they were the original sender.
To grant access to these actions:
- The sharing relationship must explicitly enable them.
- The shared user must switch to the owner's profile in Acrobat Sign.
After switching, the shared user has access to the owner’s Home, Send, and Manage tabs.
Limit agreement visibility for shared groups
By default, when a group is shared, the shared-to user or group can see:
- Agreements sent from the group
- Agreements sent to the group from other users
Admins can restrict this view to show only outbound agreements (sent from the group), improving privacy for sensitive inbound agreements—such as personal offers or HR communications.
This setting only applies when sharing a Group. If a user explicitly shares their user account with another user or group, the agreement list is not filtered.
Best practices
- Limit external sharing. Most organizations don’t need to share outside their account. If you do:
- Enable external sharing temporarily.
- Set up the share.
- Disable it again when finished.
- Only give send or modify permissions to trusted internal users.
- Only share agreements sent from the group unless you have a compelling use case where inbound agreements must be tracked.
