Learn how to reorder pages and adjust file sizes when combining multiple documents into a single PDF using Adobe Acrobat.

After combining files into a PDF, you may want to reorder the pages or reduce the overall file size. Acrobat provides tools to easily rearrange pages and compress the combined PDF.

Rearrange combined files

Select All tools > Organize pages from the top menu.

In the window with page thumbnails, take any of the following actions to rearrange pages:

  • To reorder pages: Select and drag page thumbnails to new positions. A blue line will indicate where the page will be placed
  • To move entire files: Locate the first page of the file you want to move and click and drag that page to the new location. All pages from that original file will move together.
  • To expand or collapse multi-page files: Hover over a page thumbnail and select Expand for an expanded view or select Collapse to collapse the pages.
  • To delete pages: Hover over the page and select Delete or press Delete on your keyboard.
  • To preview pages: Hover over the page and then select the Zoom thumbnail.
  • To move files up or down the file list: Select the file or files and then select Move up or Move down button.

Resize the combined file

Select Options, and then select one of the following options for the converted file:

  • Smaller File Size: Reduces large images to screen resolution and compresses them using low-quality JPEG. It is suitable for onscreen display, email, and the Internet.
  • Default File Size: Creates PDFs suitable for the reliable viewing and printing of business documents. The PDF files in the list retain their original file size and quality.
  • Larger File Size: Creates PDFs suitable for printing on desktop printers. It applies to the High-Quality Print conversion preset, and the PDF files in the list retain the original file size and quality.
Note

The Larger File Size option may result in a larger file size for the final PDF. If any source files are already PDFs, the Smaller File Size option applies the Reduce File Size feature to those files. The Reduce File Size feature isn’t applied if either the Default File Size or Larger File Size option is selected.

The Options dialog box displays various file sizes along with other combining options to enable file accessibility, add bookmarks, combine with errors, save files as PDF portfolio, convert to PDF when creating PDF portfolio, and delete source files after combining.
Change the file size as desired in the Options dialog box.

In the Options dialog box, specify the Adobe PDF Conversion Settings as needed, then select OK.

Once done, select Combine from the upper-right.
