Adobe Document Cloud helps you track and manage shared PDFs. You can check who has viewed your file, track review comments, and manage shared documents. You can easily manage document access and collaboration by tracking shared and received files, including recipient activity like views and comments.

Track activity for a shared PDF document

You can share your PDFs and track user actions with your files in real-time. Monitor who views your proposals, job offer letters, and sales contracts or track investor interest in pitch decks. Check when the recipients view or open critical legal documents like NDAs and contracts and ensure compliance and security. 

  • Track access: Track how many times the shared document has been opened, including anonymous views on publicly shared links
  • Track actions: Track the access status to monitor if invited collaborators have opened the document. Check whether they have added comments or feedback if they have viewed it.

The total view count increases each time a recipient opens the file, whether in the app or a browser, including anonymous views. Views from removed recipients are also counted.

Note:

The capability to track user activity on your shared documents is being gradually rolled out for Acrobat on Desktop, starting April 2025.

  1. Open Adobe Acrobat and access the shared PDF.

  2. Select the avatars in the upper right corner of the Global bar to open the Shared With dropdown and view the list of recipients.

    Track the views and the recent actions of the users for your shared documents.

    Note:

    To remove access from a user, select their name and then select Remove. Hover over the username or the permission to view the Remove button.

Track all shared and received PDFs

You can track the files you have shared and received, making managing document access and collaboration easier. Acrobat records recipient activity when you share a file, such as when they view or comment on the file. 

  1. Select Home   and choose an option to filter files based on their sharing status:

    •  Shared by you: View files you’ve shared for review.
    •  Shared by others: View files received for viewing or review.
  2. Review the list of shared files for viewing, which includes the following information:

    • Name: Displays the name of the file shared for view.
    • Sharing: Shows if the file is shared or is accessible only to you.
    • Last activity: Displays the last time the file was modified.
    View shared and received files from the Home view and perform the operations on shared files
    Track shared and received files for review from the Home view and take action using the options in the right panel.

  3. Select a file to view its details. You can preview and select available actions from the right pane.

    Tip:

    Regularly review and unshare files that are no longer needed.
